Sample Follow UP (SFS)

1. Authorization and Initiation of Sample Follow-up Service (SFS)

   1.1 The client (importer) formally appoints QAONE Quality Consulting Co., Ltd. to execute the Sample Follow-up Service (SFS), issuing official notices to suppliers or factories to directly send samples to the QAONE office.

2. Prerequisites for Collaboration and Service Intervention

   2.1 Upon establishing preliminary cooperation intentions between the importer and the factory, QAONE’s SFS service commences, focusing on closely monitoring the entire sample production process.

3. Details of SFS Service

   3.1 The service encompasses all stages of sample production, from initial planning, through mid-stage manufacturing, to final review. The QAONE team maintains high-frequency communication with factories via phone and email, ensuring instant information transfer.

   3.2 Upon completion of sample production, the samples are delivered to the QAONE Xiamen office for an initial visual inspection, with results promptly relayed to the client.

   3.3 In response to inspection outcomes, QAONE facilitates second-round sampling if adjustments are required; otherwise, international shipment is arranged if the client approves the sample as is.

   3.4 A consolidation service is provided, where samples from different sources are repacked uniformly and dispatched collectively to the client, aimed at reducing logistics costs.

4. Overview of Client Benefits

   4.1 Markedly enhances sample management efficiency, accelerating product launch timelines.

   4.2 Ensures seamless communication, eliminating time zone differences and language barriers.

   4.3 Enables precise control over the sample development timeline, preventing and rapidly addressing potential issues.

   4.4 Implements a unified logistics strategy, significantly decreasing cross-border shipping expenses.

   4.5 Establishes a “localized” virtual office for importers, bolstering supply chain management capabilities.

   4.6 Frees up client resources, enabling focus on core business activities such as market expansion and customer retention.

5. Service Pricing Criteria

   5.1 SFS service fees are calculated individually for each factory per sample package submitted.

   5.2 The basic service rate is $18 USD per factory per package, subject to adjustment based on sample specifics.

6. Requirements for Sample Basic Information

   6.1 Factories must provide comprehensive sample details, including but not limited to customer name, order number, supplier information, and product specifications, to facilitate system documentation and tracking.

7. Courier Arrangement Details

   7.1 For domestic sample returns to factories, a cash-on-delivery (COD) courier arrangement is employed.

   7.2 International shipping is handled by QAONE, typically with costs borne by the sender (client), adhering to the latest international courier regulations.

8. Sample Storage Policy

   8.1 QAONE commits to free storage of samples for three months that are not requested for shipment or return. Beyond this period, they will be processed according to established procedures to ensure information security.

9. Disclaimer

   9.1 The SFS service is tailored for the Chinese market, providing basic quality assessments based on appearance only, not involving itself in commercial disputes and not serving as legal evidence.

   9.2 Note: Amidst the pandemic, inspections are limited to the surface level and do not include functional testing. Feedback on any cosmetic defects is for reference only and does not impact transaction decisions.
